EVENT PAYMENT TERMS & REFUND/CANCELLATION POLICY
Full payment is required at time of booking.
Our ticketing system is fully electronic. Your booking confirmation acts as your event ticket, which you should receive within 24 hours. Unless a gift certificate is ordered, in which case this will be emailed electronically to the email address supplied by the buyer within 24 hours.Please check that your email address is spelled correctly at time of purchase, and that info@northernwineschool.co.uk is saved to your trusted contacts list. If you have not received anything from us after 24 hours, please check your spam folder first before contacting us.
Tickets are non refundable but you may send a substitute. However if sufficient notice is given, of at least 2 weeks, then attendees may make one complimentary transfer onto a course of the same value at a later date. Subsequent transfers are subject to a £40pp admin fee.
We cannot offer free transfers less than 2 weeks before the event. This is because we have to buy the wine and any food in advance, and plan for the number of expected guests. Any decisions beyond this point will be at management discretion, and at the least will involve transfer fee of £40pp in this case, or the value of your meal plus an admin fee of £40pp for Malmaison lunch and steak events.
No refunds will be issued for cancellation or rebooking requests 48 hours or less before an event. No refunds will be issued for on the day cancellations or no shows under any circumstances. New tickets equivalent to the full price of the event per person will need to be purchased, should you wish to attend at a later time.

PRODUCTS POLICY:
Products from our store are non refundable, except in the case of damage or fault on arrival. Evidence will be required in either case before a replacement is sent. The original item must be returned to us first. Loss or damage in transit is only covered if courier or premium postal options are selected at check out.
EVENT TERMS:
All guests must be at least 18 years old on the date of attendance of the event. We operate a challenge 25 policy. If we believe anyone is under the age of 25, we will ask for valid ID. If satisfactory ID cannot be produced, we reserve the right to refuse entry to the event. Please ensure you bring appropriate ID with you. Valid forms of ID accepted are passports, or UK/EU driver’s licence (full or provisional).
Northern Wine School reserves the right to cancel events if insufficient bookings are taken on a specific date. In which case, a full refund will be offered or a transfer onto the same course, or a different course of equal value, at a later time.
We reserve the right to change the venue prior to the event. In which case, as much notice as possible will be given to attendees. The venue will still be centrally located, and we will endeavour to make it as accessible as the original.
All tickets and communications regarding your booking or gift voucher purchase will be sent via email to the email account specified at registration/purchase. Please ensure you have info@northernwineschool.co.uk set to your trusted accounts to avoid important information being filtered out into spam. Ensure your email address is spelled correctly.
Unfortunately, we cannot reschedule your booking at all if you cancel on the day for any reason, as the correct amount of wine and food has already been purchased, and in the case of Malmaison events, the full price of your meals have already been paid.
Guests are responsible for arranging their own transport to get to the event in time. A refund will not be payable in any cases where guests cancel outside this notice period or cannot make the event.
If guests are late by more than 10 minutes, we reserve the right to refuse entry to the event to avoid disruption to other guests. No refunds or transfers will be offered in the case of late arrivals deemed excessive.
Northern Wine School is not responsible for any incidental losses, such as non refundable train tickets or hotel stays.
GIFT VOUCHER TERMS:
Gift vouchers are non refundable once purchased, as a unique code is generated for each one. They are valid for 2 years from date of purchase/issue. Recipients can use them in payment or part payment of any of our events or courses (excluding APWASI). Any remaining balance will be left on the voucher in your account. Any unused balance when the voucher expires will be lost. The value will lapse after 2 years from issue, but these can be extended, up to 2 months after expiration, for an extra year, for a fee of £30 per voucher.
COURSE BUNDLE TERMS:
Course bundles are non refundable and can be redeemed for Manchester based 3 week, or 3 day condensed classroom courses only. Registrations must be completed within 1 year, 2 years if they include a Level 3 Wines or 3 the Wine Scholar Guild or 3 years for the Ultimate Bundles.
If your course includes multiple levels, then they must be taken in order. No refunds will be given if you choose to skip courses, as each level supersedes the others. If a course is not attended, or you cancel outside our notice period when registered, then your place on that course will be forfeit as per our normal booking terms for courses. If you still wish to take that course, then the full amount equivalent to a standalone place will be payable.
Once booked, it is your responsibility to provide the correct student details in a timely fashion when contacted by the school. A notice period of at least 14 working days prior to the start of any course is required to register you.
WSET COURSE TERMS:
Online exams cannot be taken by those residing in the UAE or mainland China. If you are located in one of these countries, you will need to take the online exam itself in another region if you are enrolling on an online course.
Course price includes student learning materials dispatch to a UK mainland address only. If you are located outside the UK, postage can be arranged to your location for an additional supplement based on current rates to your area. Alternatively, an eBook can be provided free of charge as part of your registration fee.
Classroom course student materials will be dispatched to a UK mainland addresses. If you are located outside the UK, you can either pick up your pack on the first day of the course or, subject to time allowance prior to commencement of the course, arrange to have it dispatched to another location for an additional supplement based on current rates to your area.
Course places are non refundable. You may transfer a course to another date or another person up to 14 working days before the start of the course on payment of a £50.00 per student admin fee plus the cost of any additional study materials which may be applicable. You may transfer an exam to another date up to 12 working days before the exam date on payment of a £50.00 admin fee. We reserve the right to charge the additional difference in any additional course fees charged for a new academic year. You must register for another course date within 1 year of your original purchase.
Cancellations are accepted up to 14 working days prior to the start of the course. If a booking is cancelled during the 14 working days prior to the start of the course when the student has already been registered, or at any time after the start of the course, the full course fee is non-refundable. Should you wish to attend another date, the full course fee will need to be paid again.
Course/exam transfers may be carried forward up to 12 months & you cannot transfer your course/exam to another Approved Programme Provider (APP). Courses undergo significant updates every few years. In the case a student does not complete the exam before the overlap period expires for exams, they will have to retake the classroom or online course.
You will be liable to pay additional fees if the course/exam price changes. Course prices are updated on the 1st June annually.
Less than 14 working days before the start date is at management discretion only and cannot be guaranteed, as you will have been registered with the WSET. The full course fee will be forfeit if you cancel. You will have to purchase another place on later courses for the full current rate.
We reserve the right to cancel or amend course dates if insufficient bookings are made .A full refund of course fees will be made in this instance. Northern Wine School is not responsible for additional incidental losses if this is the case. Pre booked transport and accommodation costs are made at attendees own risk.
EXAM RESITS & DEFERRALS:
Your first exam attempt is included in your fee. You must attend the exam at the end of the classroom course booked, or on the agreed date if choosing online or self study options.
An exam deferral can be arranged at a later date for an admin fee, if at least 12 working days’ notice are given.
Once the exam papers have been dispatched by the WSET, or confirmation of your online exam has been received, this cannot be changed. If you cannot attend, another exam will have to be booked at full resit cost.
We will do our best to accommodate mitigating circumstances with less than 12 working days’ notice. Supporting evidence will be required, and be submitted to WSET exams. Approval will be at their discretion, Northern Wine School has no control over this.
Resits are charged at an additional fee based on current WSET rates, and are available on request. During course update periods, the resit must be completed before the replacement course is implemented in the new academic year, beginning 1st August. Failure to complete and pass a resit during this time will require you to study the new version of the course. The student will be liable for the registration fee.
ONLINE COURSES:
Students must complete their first attempt at the online exam within 1 year of purchase of the course, otherwise they will have to redo the course. The student will be liable for the registration fee if this is not done.
If you opt to take an online version of the exam, and do not check the compatibility of your equipment before agreeing to book, or fail to perform the system checks at least 10 days in advance as requested, a resit fee will be payable based on the current rates. All online exams are booked based on the UK timezone, so if you are booking internationally then it is your responsibility to ensure you convert this to your timezone accurately.
Requests for changes in date must be made at least 7 working days in advance of the agreed online exam dates & times. A fee equivalent to a resit is payable if the request is made less than this time.
Students must read the online exam rules and requirements carefully. Any violations may invalidate your exam results and require another exam to be taken. There will be a fee equivalent to a resit payable if the student is at fault.
